This Privacy Policy explains how your data is collected, used, stored, and protected when you use our digital khata, ledger entry, customer management, or collection tracking services. All data is transmitted securely using HTTPS encryption and stored on protected cloud servers.

1. Information We Collect

We collect only the information necessary to operate the Moxpal Khata platform efficiently:

• User Details: Name, mobile number, role (admin/staff/agent), branch ID
• Customer Information: Name, mobile number, address, khata/ledger details
• Financial Records: Credit entries, debit entries, collections, outstanding dues
• Document Proofs (if added): ID proof, customer photos, supporting documents
• Device & Login Data: IP address, browser information, login history
• System Usage Data: Entry logs, activity tracking, performance reports
• Note: We do not collect SMS content, call logs, background location, or personal media files without user action.

2. How We Use Your Information

Your information is used strictly for operating the Moxpal Khata digital ecosystem:

• Managing customer khata and ledger entries
• Tracking daily or monthly collections by staff/agents
• Generating reports, statements, and outstanding summaries
• Branch–agent–customer mapping and activity monitoring
• Improving accuracy, speed, and system performance
• Preventing fraud, unauthorized access, or misuse

3. Sharing of Information

We share data only under necessary operational conditions:

• With admin, branch managers & authorized staff for internal workflow
• With agents for customer follow-ups, collections, or khata updates
• With technical service providers (server, SMS API, backup services)
• With authorities only when required by law

We do not sell, rent, trade, or commercially distribute user data to any third party.

4. Data Protection & Security

Your data is protected using industry-standard encryption, secure HTTPS transmission, role-based access control, monitored server infrastructure, and activity logging mechanisms. Unauthorized access attempts are actively monitored and restricted.

5. Data Retention

Customer khata, ledger records, and collection history remain stored as long as your account is active. Upon deactivation or request, data can be archived or permanently deleted following verification. Users can request account deletion directly from the application settings or by contacting support. Upon successful verification, all associated personal and business data will be permanently deleted within 7 working days.

6. App Permissions

Moxpal Khata may request limited device permissions such as:

• Camera – To capture customer photos or upload documents when chosen by the user.
• Contacts – To allow manual selection of customer details from the device contact list.
• Photos/Media – To upload bills, invoices, or supporting documents.

These permissions are optional and used only when initiated by the user. We do not access SMS, call logs, or background location data.

7. Cookies & Tracking

Cookies help us improve speed, performance, login sessions, and user experience. You may disable cookies, but some dashboard features may not function properly.

8. Your Rights

You may request the following anytime:

• Access to your stored information
• Correction of incorrect or outdated data
• Deletion of your account and associated records
• Restriction of specific data usage

9. Third-Party Links

Moxpal Khata may contain external links (e.g., SMS API, payment gateways). We are not responsible for the privacy practices of external websites.

10. Children’s Privacy

Moxpal Khata is not intended for individuals under the age of 18. We do not knowingly collect personal data from minors.

11. Policy Updates

This Privacy Policy may be updated periodically for improvements or compliance with new regulations. Updates will take effect immediately after being posted on our website.

12. Account Deletion

Users may permanently delete their Moxpal Khata account at any time.

• In-App Deletion: Users can delete their account directly from the app by going to: Profile → Settings → Delete Khata.
• Web Request: Users can also submit an account deletion request through our official web page: https://khata.moxpal.com/account-deletion.php
• Once a valid deletion request is received and verified, the user account and associated personal and business data will be permanently deleted from active systems within 30 days.
• Certain records may be retained only if required for legal, regulatory, or fraud-prevention purposes.
